1. Who we are

This Privacy Policy explains how Skyguard Flat Roofing LTD (“we”, “us”, “our”) collects, uses and protects your personal data when you use our website, contact us, or engage us for roofing services.

We are the data controller for the personal information you provide to us. Our registered office is 4 Church Street, Swinton, Mexborough, South Yorkshire S64 8QA (company number 16077202), and we trade from Newsam Rd, Kilnhurst, Swinton, Mexborough S64 5UL, UK.

2. Information we collect

We collect the following types of personal information:

Contact details you give us — name, email address, phone number, postcode, property address.
Project information — details of the roof you want quoted or repaired, photographs you send us (for example by email), and any notes you add to enquiry forms.
Communication records — emails, call logs, text messages and any other correspondence between us.
Website usage data — anonymised analytics (pages visited, approximate location, device type, and when our phone, WhatsApp or email links are tapped or an enquiry form is sent, including which type of job was picked and which steps of the price estimator were reached, but never your name, contact details or anything you type) collected via cookies, only if you accept cookies. If you accept, we also record whether you arrived from one of our Google adverts and whether that visit led to an enquiry. See our Cookie Policy for full detail.
Quote Rush leaderboard data — the player name, chosen character and score you submit, together with the run’s statistics (distance, quotes collected, best combo and how long the run lasted). We also store a one-way hash derived from the submitting IP address to limit automated or excessive entries; it cannot be turned back into your address and the leaderboard does not store the raw IP address. No account or sign-in is needed to play or to submit a score. The game also keeps your chosen name and a few settings in your own browser’s local storage (listed in our Cookie Policy); that copy stays on your device and is removed if you clear this website’s data in your browser.
Financial information (clients only) — invoicing addresses and payment details for completed work.

We do not collect any “special category” data (health, biometric, political, religious etc).

3. How we use it

We use your personal data to:

Respond to your enquiry and prepare a quote.
Visit your property, schedule and carry out the work you’ve asked us to do.
Issue invoices and take payment for completed work.
Register manufacturer warranties on your behalf (which may require sharing your name and address with the membrane manufacturer).
Communicate with you about your project (calls, emails, texts).
Send occasional service-related follow-ups (e.g. a maintenance reminder a year after install).
Improve our website using anonymised analytics.
See which of our Google adverts lead to enquiries, so we only pay for adverts that work.
Comply with our legal and tax obligations.

We do not use your data for third-party marketing, and we do not sell or rent your data to anyone.

4. Legal basis for processing

Under UK GDPR, we rely on:

Performance of a contract — when you ask us to quote or carry out work.
Legitimate interests — for things like responding to enquiries, managing our business, registering warranties on your behalf, and improving our website.
Consent — for optional Google Analytics and Google Ads cookies, which we only set if you accept them in our cookie banner (you can withdraw consent at any time with the Cookie settings button in the website footer). If we ever ask to add you to a marketing list, that also requires explicit opt-in (we don’t currently run one).
Legal obligation — for tax records, accounting and other statutory requirements.

5. Who we share it with

We share your data only where necessary:

Manufacturers — to register your warranty (name and address only).
Sub-contractors — e.g. scaffolders or specialist trades involved in your specific job. They only receive the information needed to do their part.
Our accountants and HMRC — for invoicing, tax and statutory reporting.
Formspree — our website form processor. Contact and estimator submissions are sent to Formspree, stored in our Formspree account and forwarded to us by email. Formspree hosts its service in the United States and states that it uses Standard Contractual Clauses for transfers as a data processor. See Formspree’s security information and privacy policy.
Google (Google Analytics and Google Ads) — only if you accept cookies. Google processes website usage data for us, including whether a visit that started from one of our adverts led to an enquiry, and may process it in the United States. We tell Google not to use it to personalise adverts, and we don’t send Google your name, email address, phone number or anything you type into our forms. See Google’s privacy policy.
Hostinger — our website host. Its servers keep standard access logs (such as IP address, browser type and the pages requested) to deliver and protect the site, and store the Quote Rush leaderboard.
IT and software providers — email, accounting and analytics tools we use to run the business, who act as our data processors under contract.
Legal or regulatory bodies — only if we’re required to by law.

Apart from Google Ads, only with your consent and as described above, we do not share personal data with any marketing services.

6. How long we keep it

Enquiries that don’t become jobs — 12 months, then deleted.
Quote records and project files — 7 years (HMRC requirement) from the date of the final invoice.
Warranty records — for the duration of the warranty period (typically 20 years), to support warranty claims.
Marketing consents — until you withdraw consent.
Website analytics — Google Analytics keeps event-level data for 2 months and user-level data for 14 months from your last visit (our Google Analytics retention settings). After that only aggregated report totals remain, which don’t identify you. Google Ads cookies on your device last up to 90 days.
Quote Rush leaderboard entries — while the public leaderboard is operated, unless you ask us to remove your entry sooner.

7. Your rights

Under UK GDPR you have the right to:

Access the personal data we hold about you (a “subject access request”).
Correct inaccurate or incomplete data.
Delete your data where there’s no overriding legitimate or legal reason for us to keep it.
Restrict how we use your data while a query is resolved.
Object to processing based on legitimate interests.
Data portability — receive your data in a portable format.
Withdraw consent at any time for processing based on consent.

To exercise any of these rights, email us at info@skyguardflatroofing.co.uk with “Privacy request” in the subject line. We will respond within one calendar month.

8. Security

We take reasonable technical and organisational steps to protect your personal data — encrypted email and storage, access controls, secure passwords on cloud services, and regular software updates. No system is ever 100% secure, but we treat your data with the seriousness our customers expect.

9. Cookies and analytics

Our website uses your browser’s local storage to remember your cookie choice and, only if you accept them, Google Analytics cookies for anonymous analytics and Google Ads cookies to see which of our adverts lead to enquiries. 10. Children

Our services are aimed at property owners and businesses. We do not knowingly collect data from anyone under 16. If you believe a child has provided us with data, please contact us so we can delete it.

11. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent change. Material changes will be highlighted on the page.

12. How to complain

If you’re not happy with how we’ve handled your data, please contact us first — we’ll do our best to put it right. You also have the right to complain to the UK’s data protection regulator:
